Job Description

Job Summary We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves managing front desk activities, coordinating communication across departments, and supporting overall office efficiency. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workplace. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth, ensuring a positive first impression. Handle multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette. Manage calendar scheduling, appointments, and meetings for staff members using tools like Google Workspace and Microsoft Office. Maintain accurate data entry records, organize files, and perform clerical tasks such as proofreading documents and managing correspondence. Oversee office supplies inventory, coordinate procurement, and ensure the office environment remains organized and well-stocked. Support bookkeeping activities using QuickBooks or similar accounting software to assist with basic financial recordkeeping. Provide customer support by addressing inquiries promptly, assisting clients or visitors as needed, and ensuring excellent customer service standards are upheld. Experience Proven experience in office management or administrative roles with a strong background in clerical duties and customer service. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, data entry, and filing systems. Prior experience handling multi-line phone systems, calendar management, and phone etiquette in a professional setting. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Experience working in medical or dental offices as a receptionist or personal assistant is advantageous but not required. Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail. Knowledge of bookkeeping practices using QuickBooks or similar software is preferred but not mandatory.
