JOB DESCRIPTION
Executive Assistant & Office Manager High Profile is partnering with our client to identify a highly organized, proactive, and detail-oriented Executive Assistant & Office Manager to support a senior executive while helping maintain a productive and welcoming office environment. This is an excellent opportunity for a professional who thrives in a fast-paced setting, enjoys balancing multiple priorities, and takes pride in creating structure, efficiency, and exceptional support across an organization. The ideal candidate is a polished professional with strong judgment, exceptional organizational skills, and the ability to anticipate needs before they arise. This individual will serve as a trusted partner to leadership while also contributing to office operations and supporting key people-related initiatives. What You'll Do Executive Support Manage a complex executive calendar, including scheduling, prioritization, and conflict resolution Coordinate domestic travel arrangements, including flights, accommodations, transportation, and detailed itineraries Prepare meeting materials, presentations, agendas, and supporting documentation Coordinate meetings and assist with follow-up, action item tracking, and project management Serve as a primary point of contact for internal and external stakeholders on behalf of senior leadership Support special projects, research initiatives, reporting, and administrative priorities Handle highly confidential information with professionalism, discretion, and sound judgment Anticipate executive needs and proactively remove obstacles to maximize efficiency and effectiveness Office Management Oversee day-to-day office operations to ensure a smooth and professional workplace experience Coordinate office vendors, supplies, facilities needs, and workplace services Support reception and visitor experience initiatives as needed Assist with planning and coordination of meetings, employee events, and company functions Maintain an organized, welcoming, and efficient office environment for employees and guests HR & Administrative Support Provide administrative support for people-related initiatives and projects Assist with maintaining reports, documentation, records, and departmental trackers Support cross-functional projects and special assignments aligned with business priorities Partner with internal stakeholders to ensure timely completion of administrative and operational tasks Culture & Environment Trusted partnership with a senior executive and leadership team Highly collaborative and professional workplace Opportunity to contribute across executive support, office operations, and people-focused initiatives Fast-paced environment requiring adaptability, resourcefulness, and strong prioritization skills Meaningful ownership of responsibilities with visibility across the organization Role requiring a high degree of confidentiality, professionalism, and discretion
JOB REQUIREMENTS
3-7+ years of experience in an Executive Assistant, Office Manager, Administrative Business Partner, or similar role supporting senior leaders Exceptional organizational and time management skills Ability to effectively manage multiple priorities in a dynamic environment Excellent written and verbal communication skills Strong attention to detail and commitment to accuracy High level of professionalism, discretion, and confidentiality Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint Experience supporting HR teams, people operations, or related functions preferred Demonstrated ability to work independently, anticipate needs, and solve problems proactively Strong interpersonal skills with the ability to build relationships across all levels of an organization
