Dataspoon takes the time to deeply understand the processes that work inside great restaurants, then build tools that help teams use them more consistently. We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting team members, and maintaining efficient office workflows. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to their work, helping foster a productive and welcoming workplace atmosphere. Office Administrator Responsibilities:
Manage daily office operations and independently prioritize across finance, facilities, and various support tasks Serve as the primary point of contact for incoming communications via phone and email, providing professional and responsive support Coordinate calendar management and schedule appointments for team members Utilize software to prepare documents and correspondence Maintain accurate and organized physical and digital records through diligent filing and data entry Manage bill payments, dues, and subscriptions using Zoho Expense to compile detailed expense reports Manage vendor and contractor relationships, ensuring timely communication and service delivery Order and maintain inventory of kitchen and office supplies to keep the office fully stocked Maintain a clean, well-stocked kitchen and common area Handle mail distribution and package pickup in a timely manner Support new employee onboarding by assisting with paperwork, equipment setup, and orientation logistics Handle light IT troubleshooting and device management to ensure smooth day-to-day operations
What You Bring:
Proven experience in office management or administrative roles Excellent computer skills including proficiency with Apple products Strong verbal and written communication skills Bilingual abilities are highly desirable to support diverse client needs Exceptional time management skills with the ability to prioritize tasks effectively in a fast-paced environment Ability to stay organized while maintaining a high level of accuracy and attention to detail Employment is contingent upon successful completion of a background check and drug screening.
