Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy. Oversee calendar management and scheduling for meetings, appointments, and events using productivity software and digital tools. Maintain accurate records through data entry, filing, and document proofreading to ensure organizational integrity. Handle correspondence via email, word processing documents, and client communication channels with clarity and attention to detail. Support office management tasks such as supply inventory, equipment maintenance, and coordinating repairs or services as needed. Bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices. Provide exceptional customer service by addressing inquiries promptly and supporting client communication efforts. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Effective phone communication skills coupled with phone etiquette to handle inquiries professionally. Bilingual abilities are a plus to enhance communication with diverse clients and team members. Prior office experience or administrative experience demonstrating familiarity with clerical tasks such as filing, proofreading, and calendar management. Technical proficiency in office management tools including multi-line phone systems and productivity software. Exceptional time management skills to prioritize tasks effectively while maintaining accuracy in data entry and document processing.
