Job Description
ENTRY LEVEL POSITION
Overview The Office Administrator provides a professional first impression for all incoming clients and guests. The primary responsibilities of the Office Administrator are to help the organization flow smoothly and provide administrative assistance to the portfolio managers. The Office Administrator answers the telephones, greets clients and vendors, orders supplies, sorts and distributes mail, files correspondence, among various other tasks. Qualifications High school diploma required Ability to lift: a case of water, a case of copy paper Must have knowledge of Microsoft Office applications, including Word, Excel, Adobe Possess excellent written and organizational skills Present a professional attitude Responsibilities Each morning: distribute newspapers, unload dishwasher, check paper supply in the copy machine Each afternoon: start dishwasher, drop off outgoing mail (in building) Answer telephone calls and direct them accordingly Greet in house clients and vendors File correspondence and perform other routine clerical tasks as needed Order and maintain relevant office supplies, including kitchen supplies, within firm guidelines Sort and distribute incoming mail and prepare outgoing mail, including overnight and courier packages Log incoming checks into Excel spreadsheet Occasionally type miscellaneous correspondence Operate a variety of standard office machines, including a personal computer and a variety of software, multi-line phone, fax, calculator, electrical mailing equipment, binding machine and photocopy/scan machine Interact and coordinate scheduling with all outside vendors Print and bind presentation material for clients and prospects Prepare monthly AUM Report in Excel Assist Compliance Officer by organizing monthly statements Maintain client contact address list for annual Christmas cards and quarterly marketing letters Print and mail out quarterly marketing letters Keep conference rooms, kitchen and shared spaces tidy Decorates the office for Christmas, i.e., putting up the tree, taking down the tree (with help) Plan and organize details of our annual Christmas luncheon Manage offsite storage records Running certified mail to the nearby post office (requires own transportation) Maintains scrap book of company events, news, etc. Interface with building management via online portal to keep suite in working order Track birthdays and coordinate pick-up or delivery of treats (requires own transportation) Perform duties in an efficient, professional, and courteous manner Maintain consistent attendance, punctuality, and a professional appearance Carry out various duties daily to keep office running smoothly Complete compliance financial training classes online throughout the year We offer a competitive salary package including healthcare, 401k, andPTO Job Type:
