Located in Dallas, Garland & Terrell , the clinics specializes in well woman exams, birth control, prenatal care, and menopausal support, serving individuals who are uninsured, underinsured, or receiving Medicaid. Job Overview We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations at our 4 clinics. The ideal candidate will possess strong office management skills, excellent communication abilities, and a passion for supporting healthcare professionals and patients alike. This role involves managing front desk activities, coordinating administrative tasks, and ensuring a smooth and efficient clinic environment. Responsibilities Manage front desk operations, including greeting patients, scheduling appointments, and handling multi-line phone systems with professionalism and courtesy. Maintain accurate patient records through data entry, filing, and updating electronic health records using computer literacy tools such as Microsoft Office and Google Workspace. Oversee office supplies inventory, order necessary materials, and ensure the clinic remains well-stocked and organized. Provide exceptional customer service by addressing patient inquiries, assisting with billing questions, and supporting overall patient support functions. Coordinate calendar management for healthcare providers to optimize appointment scheduling and minimize wait times. Handle clerical duties such as proofreading documents, managing correspondence, and maintaining confidentiality of sensitive information. Support bookkeeping activities using QuickBooks or similar software to track expenses and manage financial records. Requirements Proven experience in office management within a healthcare or medical setting is preferred. Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry systems. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Demonstrated customer service skills with professional phone etiquette and experience managing multi-line phone systems. Bilingual abilities are highly desirable to effectively communicate with diverse patient populations. Previous clerical or administrative experience in a medical or dental office is advantageous. Knowledge of medical receptionist duties such as calendar management, patient check-in/out procedures, and medical billing is beneficial. Ability to handle confidential information discreetly while maintaining high levels of accuracy in documentation.
