Our team values organization, efficiency, and clear communication to keep projects running smoothly from start to finish. Position Overview We're looking for a highly organized and detail-oriented Office Administrator to play a central role in our daily operations. This position is critical to ensuring seamless coordination between office functions, project sites, suppliers, and clients. You will manage inventory, oversee shipments and receiving, handle financial processes, and support payroll and expense management - helping keep projects on schedule. Duties Manage and track inventory of materials, tools, and supplies Coordinate incoming and outgoing shipments, including scheduling deliveries and pickups Receive, inspect, and log materials to ensure accuracy and quality Maintain accurate records of stock levels and reorder supplies as needed Process invoices, payments, and expense reports in a timely manner Manage and review employee expense reports for accuracy and compliance Process bi-weekly payroll, ensuring timely and accurate compensation for employees Reconcile purchase orders with deliveries and supplier invoices Communicate with vendors, suppliers, and subcontractors regarding orders and timelines Support project managers with administrative tasks and documentation Maintain organized filing systems (digital and physical) Assist with general office duties such as answering phones, emails, and scheduling; Review picking slips, work orders, production schedules, drawings, and technical documents; Maintain accurate inventory records and update stock movements in the system; Track stock levels and report shortages, damages, or overstock situations; Conduct regular stock takes and cycle counts; Reconcile physical inventory with system records and investigate discrepancies; Communicate effectively with warehouse staff regarding orders, production schedules, inventory status, and system updates; Coordinate with builders to schedule delivery plans and confirm delivery timelines; Set up and manage installation schedules based on project timelines, site readiness, and builder requirements; Liaise with site supervisors, builders, suppliers, drivers, and external parties to coordinate material flow and installation progress; Assist with recruitment, payroll and running regular reports; Performs other related duties as assigned. Qualifications Previous experience in an administrative role in construction or or home finishing industry is an asset; Accounting and estimating background is considered a strong asset; Strong organizational and multitasking skills; Attention to detail and accuracy in record-keeping; Familiarity with inventory management and basic warehouse processes; Proficiency in Microsoft Office (Excel, Word, Outlook); experience with accounting or ERP software is an asset; Valid driver's license is an asset; Excellent communication and problem-solving skills; Ability to work independently and as part of a team.
