Job Description
Overview We are seeking a dynamic and highly organized Office Administrator to join our sign shop team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly, efficiently, and professionally. Your proactive approach and exceptional organizational skills will support various administrative functions, enhance communication, and foster a welcoming environment for clients and staff alike. This position offers an exciting opportunity to contribute to a vibrant workplace where your skills make a real impact every day. Responsibilities Manage front desk operations and greeting visitors. Process customer orders accurately and generate work orders for the operations and production teams. Coordinate job information to ensure projects are scheduled and completed efficiently. Prepare and issue customer invoices using QuickBooks. Monitor accounts receivable and assist with payment collection as needed. Answer incoming phone calls, emails, and customer inquiries in a professional manner. Maintain accurate customer records, job files, and documentation. Communicate with customers regarding order status, scheduling, and project updates. Provide administrative support to management and production staff. Perform general office duties, including filing, data entry, and document management. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency. Experience with QuickBooks or similar accounting software for invoicing and financial record keeping. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills, including phone etiquette and client interaction expertise. Strong customer service and problem-solving skills. Attention to detail for proofreading, data entry accuracy, and filing procedures. Previous experience in a sign shop, manufacturing, construction, or fabrication environment is a plus.
