Job Description
Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our office environment. Your energy, attention to detail, and proactive approach will help foster a productive workplace where both team members and visitors feel welcomed and supported. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Handle multi-line phone systems with excellent phone etiquette, screening calls, taking messages, and transferring inquiries efficiently Maintain organized filing systems, data entry records, and ensure accurate document proofreading and record keeping Oversee calendar management for meetings, appointments, and scheduling using tools like Google Workspace and Microsoft Office Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial documentation Provide exceptional customer support by addressing inquiries promptly via phone or email and assisting with client or patient needs in a courteous manner Coordinate office supplies procurement, manage office management tasks, and ensure the workspace remains tidy and functional Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, editing, and collaboration Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong typing skills with high computer literacy; experience with data entry and filing systems is essential Bilingual abilities are a plus to support diverse client interactions Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required Demonstrated professionalism in phone etiquette and customer support interactions Ability to multitask efficiently while maintaining attention to detail and accuracy in all responsibilities Join us as an Office Administrator where your enthusiasm for organization and service will help create a welcoming environment that keeps our operations running seamlessly.
