Job Description
We are a full-service CPA firm with a large client base seeking a professional, competent, and highly organized Office Manager / Executive Assistant to serve as the polished front desk and key support professional for our team. This is not a traditional receptionist or entry-level administrative position. We need an experienced individual who can represent our firm with excellence and become a long-term asset. Position Overview As the first point of contact for our clients, you will combine front-desk presence with meaningful office management and executive support responsibilities. You will play a vital role in delivering exceptional client service while keeping our office operations running smoothly. Key Responsibilities Greet clients and visitors with a warm, professional demeanor as the face of our firm Manage a busy multi-line phone system with outstanding etiquette and accuracy Provide executive-level administrative support to partners and staff (scheduling, correspondence, document preparation, etc.) Learn our industry processes, accounting software, and client workflows quickly Maintain excellent organization of files, calendars, office systems, and daily operations Handle written communications with clients, staff, vendors, and agencies in a clear, accurate, and professional manner Solve problems proactively and serve as a reliable resource for the team Protect confidential client and firm information at all times Assist with special projects as needed Requirements Minimum 3 years ' experience as an Executive Assistant, Office Manager , or in a similar senior administrative role Exceptional professional presence and client service mindset — our clients are like family Outstanding verbal and written communication skills (phone, in-person, and email) Strong technological proficiency (Microsoft Office Suite, internet, troubleshooting office equipment) Advanced organizational skills and ability to manage multiple priorities Problem-solving ability and sound judgment High ethical standards and proven ability to maintain confidentiality Ability to navigate stairs throughout the workday Quick learner who is eager to understand the accounting profession Preferred Qualifications QuickBooks experience (training available for the right candidate) Previous experience in accounting, legal, or professional services environment What We Offer Competitive hourly pay: $19.00 - $24.00 per hour (depending on experience) Full-time position (in-person)
