Job Description

As an Office Administrator at Weis Builders, you will play a key role in supporting the Operations and Estimating teams by coordinating bid activities, maintaining critical project documentation, and serving as a liaison between internal teams, subcontractors, vendors, and clients. Key Responsibilities:
Support the preconstruction and estimating process by establishing and maintaining estimating files, bid records, subcontractor databases, project tracking logs, and estimating calendars. Coordinate subcontractor and vendor outreach, including bid solicitations, follow-up calls, collection of subcontractor proposals, and maintenance of bid documentation. Download, organize, and distribute project plans, specifications, and other preconstruction documents. Prepare, format, and distribute executive summaries, meeting minutes, transmittals, submittals, and other project-related documentation. Assemble, package, and distribute submittals, transmittals, PRM packages, and CSF packages. Maintain project tracking tools and bid schedules to ensure information remains current and accurate. Provide administrative support by answering and routing calls, greeting visitors, coordinating incoming and outgoing mail and packages, offering refreshments, and maintaining office, reception, conference room, break area, and supply inventories. Collaborate with project teams, subcontractors, vendors, and clients to support effective communication and successful project execution.
