The Office Administrator is responsible for supporting the daily administrative and operational, and coordination functions of the facility. This role ensures efficient, organized, and professional business operations. This role serves as a central coordination point between office personnel, operations, leadership, vendors, customers, employees, and corporate support teams while helping maintain strong organizational structure and operational discipline across the site. This position must deliver service excellence through maintaining accurate records, improving office efficiency, supporting employee engagement activities, and helping leadership maintain effective communication and coordination throughout the organization. Measures of Success Improved administrative workflow efficiency and operational coordination Reduction in missed tasks, scheduling conflicts and operational interruptions Develop and maintain strong relationships with vocational schools Improve office resource management, supply coordination, and vendor responsiveness Accurate reporting, operational follow-through, and administrative coordinationResponsibilities:
(identify functions or the role and expected outcomes) Responsibilities include but are not limited to: Manages daily administrative and operational activities of the facility to ensure efficiency, organization, and professionalism. Supports office operations by maintaining administrative processes, records, filing systems, and workflow coordination. Coordinates meetings, schedules, travel arrangements, and other administrative activities for leadership and operational teams. Handles incoming inquiries and communications while providing professional support to employees, customers, vendors, and visitors. Assists with preparation, processing, and maintenance of operational, personnel, and financial documentation. Oversees office procedures, supplies, equipment, and administrative resources to maintain operational efficiency. Coordinates office vendors, service providers, facilities activities, and maintenance requirements. Processes invoices, tracks expenses, and assists with administrative financial activities and recordkeeping. Generates reports, tracks operational metrics, and assists leadership with reporting and organizational analytics. Maintains confidentiality and proper handling of sensitive employee, operational, and company information. Assists with implementation and adherence to company policies, procedures, and administrative standards. Coordinates with corporate offices, leadership teams, and other departments to support alignment and operational consistency. Assists leadership with special projects, operational initiatives, and continuous improvement activities as needed. Builds strong working relationships across departments to support collaboration, communication, and operational success. Performs additional administrative and operational duties as required to support the overall success of the facility. Maintains organized and efficient daily office operations. Ensures timely and accurate handling of documentation, reporting, invoices, and records. Fosters positive stakeholder engagement (employee, customer, vendor, and candidate) through a consistently professional and solutions-oriented attitude. Maintains operational structure, accountability, and follow-through. Provides onsite support for corporate Human Resources assisting with employee events, student programs, interview scheduling, training logistics, and new hire set up. Assists with collecting and maintaining employee documentation and onboarding records as directed by HR team members. Supports local leadership in driving employee engagement initiatives. Represents the company at community outreach activities. Develops and maintains relationships with vocational schools, technical programs, and colleges. Escalates employee concerns and complaints to local leadership and / or corporate Employee Relations team.Qualifications Required:
Bachelor's degree preferred 5 + years of experience providing administrative support to senior leaders and/or managing an office Highly proficient in Microsoft Office and programs required Highly organized, detail-oriented Must be proactive and capable of managing multiple priorities in a fast-paced manufacturing and operations environment Success in this role requires strong communication skills, professionalism, sound judgment Must exercise discretion with confidential information Ability to operate independently while supporting cross-functional teams throughout the organization Travel : some local travel may be required Work Environment This position works primarily in an office environment using computer and technology. Verbal and auditory capability are required. Occasional exposure in production plant where large equipment and noise are prevalent. Safety gear is required in these areas. This position reports into the site every day. This position has no direct reports.
