Overview We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting daily office functions, and providing exceptional customer service to clients and visitors. The ideal candidate will be proactive, detail-oriented, and possess strong technical skills to handle a variety of responsibilities efficiently. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, maintaining office supplies, and organizing documents using spreadsheets and productivity software Coordinate calendar management and schedule appointments for staff members, ensuring efficient time management Support client communication through effective correspondence, proofreading documents, and providing excellent customer support Utilize computer skills including Microsoft Office (Word, Excel) and QuickBooks for invoicing, record keeping, and financial tracking Assist with clerical duties such as typing reports, preparing presentations, and maintaining accurate records of office activities Facilitate internal communication by organizing meetings, preparing agendas, and managing office workflows Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and productivity software Excellent computer literacy with the ability to quickly adapt to new technical tools Experience with QuickBooks or similar accounting software is highly desirable Strong customer service skills with the ability to communicate effectively via phone and in person Bilingual abilities are a plus to support diverse client interactions Demonstrated ability to multitask efficiently while maintaining attention to detail and accuracy Previous experience in front desk or clerical roles involving file management, calendar coordination, and time management Join us as an Office Administrator to be the backbone of our operational success!
