Job Summary We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! This energetic role is vital in maintaining a smooth, efficient office environment while providing exceptional support to staff, clients, and visitors. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage daily administrative operations, oversee front desk responsibilities, coordinate schedules, and ensure the office runs seamlessly. Duties Greet visitors and manage the front desk with professionalism and warmth, creating a welcoming atmosphere. Answer multi-line phone systems promptly, directing calls efficiently and courteously while practicing excellent phone etiquette. Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools. Handle data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records. Maintain office supplies inventory, place orders as needed, and oversee general office management tasks to keep the workspace functional. Support bookkeeping activities using QuickBooks or similar accounting software; assist with invoicing and expense tracking. Provide customer support by responding to inquiries via phone or email, ensuring excellent service at all times. Assist with personal assistant duties such as calendar management for executives or staff members as required. Requirements Proven experience in office management or administrative roles with strong clerical skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy. Experience handling multi-line phone systems and practicing professional phone etiquette. Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Bilingual abilities are highly desirable to communicate with diverse clients and team members. Familiarity with QuickBooks for bookkeeping tasks is preferred; experience with data entry, filing, proofreading, and calendar management is essential. Previous experience in customer service or medical/dental receptionist roles is a plus. Excellent interpersonal skills with a friendly demeanor; ability to support a busy office environment while maintaining professionalism.
