Job Description
Overview We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment while managing essential bookkeeping tasks. The ideal candidate will bring energy, attention to detail, and a proactive approach to handling daily office functions, customer interactions, and financial record-keeping. Duties Oversee daily office operations, including managing front desk activities and greeting visitors with professionalism and warmth Handle multi-line phone systems, directing calls efficiently and providing excellent customer service Maintain accurate financial records using QuickBooks and other accounting software, including invoicing, expense tracking, and bank reconciliations Manage calendar scheduling, appointment setting, and coordinate meetings for staff and clients Perform data entry, filing, proofreading, and document management to ensure organizational accuracy Support administrative tasks such as typing correspondence, managing emails, and maintaining office supplies inventory Provide exceptional customer support by addressing inquiries promptly and courteously in person or via phone or email Skills Proficiency in QuickBooks for bookkeeping and financial management Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Experience with front desk operations, multi-line phone systems, and phone etiquette Bilingual abilities are highly desirable to serve diverse client needs Prior office management experience combined with clerical skills such as filing, data entry, proofreading, and calendar management Knowledge of medical or dental receptionist duties is a plus but not required; personal assistant experience is beneficial Strong time management skills coupled with the ability to handle multiple responsibilities simultaneously Join us in creating an energetic workplace where your administrative talents and financial expertise will thrive!
