Job Description
Randolph-Macon College is seeking an Office Manager for the Campus Safety department to support the daily operations by overseeing front office functions, supervising staff, and managing key administrative processes. Reporting to the Assistant Director of Campus Safety, this role is responsible for ensuring efficient office operations, including visitor services, accurate report processing, data management, and coordination of communication and security systems with an elevated level of responsibility, discretion, and attention to detail. The Office Manager works closely with Campus Safety leadership to maintain a professional, responsive, and well-organized department.
Key ResponsibilitiesSupervise Operations Assistants and student workers, including hiring, training, scheduling, payroll processing, and performance evaluationsOversee parking operations, including vehicle registrations, violations, and related recordkeeping and charge processingAdminister ID card and access control systems, including data management, permissions, and system integrityManage administrative operations, including purchasing, budgeting support, reporting, and maintenance of departmental records and documentationCoordinate office communications, including bulletin boards and internal updatesCollaborate with campus partners to support major events and institutional initiativesManage auxiliary functions such as the Lost and Found program and provide operational coverage as neededPerform other duties as assigned by the Director of Campus Safety.
QualificationsBachelors degree in business administration, public administration, criminal justice, or a related field preferred; or an equivalent combination of education and progressively responsible administrative experience, ideally within campus safety, public safety, or higher education environment required.
Experience in office management, administrative coordination, or supervisory support required; experience with databases, records management, and access control/ID systems preferredProficiency in Microsoft Office and other standard business softwareStrong written and verbal communication skills with a professional and courteous customer-service-oriented approachAbility to stay organized, adaptable, and composed while managing changing priorities in a fast-paced environment.
Strong interpersonal skills with the ability to interact effectively with students, staff, and administratorsAbility to document information clearly and support conflict resolution or de-escalation when neededWorking knowledge of applicable Virginia laws and regulations preferredValid Virginia drivers license required; must pass criminal background check and DMV record reviewWorking conditions/physical demands:
Maintain a flexible schedule as needed, including occasional early mornings, evenings, or extended hours. Standard work hours are Monday through Friday, 8:30 a.m. to 5:00 p.m., with weekend availability as required.
The position involves routine movement across campus, including frequent trips to other buildings in support of departmental operations. Fine motor skills and manual dexterity are required for the effective use of office equipment.
Occasional lifting and moving materials weighing up to 15 pounds is required. Position is considered essential, requiring an employee to report during inclement weather and/or other emergency situations as deemed necessary.
