  • Full-time The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.
The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. Responsibilities Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands. Organize and schedule meetings and appointments. Partner with HR to maintain office policies as necessary. Organize office operations and procedures. Coordinate with IT Consultant on all office equipment and computer related items. Manage relationships with vendors and service providers ensuring that all items are accounted for and paid on time. Manage contract and price negotiations with office vendors and service providers. Provide general support to visitors. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and that clerical functions are properly assigned and monitored Ensure office efficiency is maintained by carrying out designated plans. Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise. Establish and monitor procedures for record keeping. Ensure security, integrity and confidentiality of data. Design and implement office policies and procedures. Prepare operational reports and schedules to ensure efficiency. Handle customer inquiries and complaints. Other duties as assigned. Qualifications Degree in business or related field or formal on-the-job training. 5 years proven office management, administrative or assistant experience. Work in Construction Industry a plus but not required Payroll Experience Knowledge of office management responsibilities, systems and procedures. Must be a team player yet able to work well independently. Must be able to demonstrate poise, tact, diplomacy and possess good judgment and discretion. Proficiency using Microsoft Office (including Word, Outlook, Excel or Access and PowerPoint). Ability to proofread and formulate letters and other documents. Knowledge of accounting, data and administrative management practices and procedures. Excellent spelling, punctuation, and grammar. Excellent communication skills both verbal and written a must. Must be able to handle multiple tasks and be able to prioritize workload, work well under pressure, and meet deadlines Detail oriented, well organized, and possess effective time management skills. Self-starter and highly motivated. Must be able to handle sensitive and confidential information and situations. Proven customer service and interpersonal skills.
