Job Description

Position Summary The Operations Manager is responsible for the day-to-day management and administration of the title and settlement office, including oversight of staff, workflow management, customer service, operational efficiency, and compliance with company policies and applicable Virginia laws and regulations. This position supervises office personnel, supports human resources functions, assists with processing and settlement operations as needed, and helps ensure accurate, timely, and professional closing services. Essential Duties and Responsibilities Office Operations Manage daily operations of the title and settlement office to ensure efficient workflow and timely file processing. Monitor staffing levels, workload distribution, and operational performance. Develop and implement office procedures and operational best practices. Maintain quality control standards for title, settlement, and escrow processes. Assist with resolution of operational issues, file escalations, and client concerns. Coordinate with underwriters, lenders, real estate agents, attorneys, and vendors as necessary. Personnel Management Supervise, train, mentor, and evaluate office staff, including processors, settlement coordinators, closers, and administrative personnel. Assist with recruiting, interviewing, onboarding, and employee retention efforts. Monitor employee performance and provide coaching and corrective action when appropriate. Promote a professional, team-oriented, and customer-service-focused workplace culture. Coordinate scheduling, attendance tracking, and workflow coverage. Human Resources & Administrative Functions Assist ownership or senior management with implementation and enforcement of personnel policies and procedures. Maintain employee records and coordinate HR-related administrative functions. Support payroll administration, benefits coordination, and compliance with employment policies. Ensure adherence to workplace safety, confidentiality, and data security standards. Processing & Settlement Support Assist with title processing, file review, and settlement coordination as operational needs require. Review files for completeness, accuracy, and compliance prior to closing and disbursement. Support escrow balancing, funding coordination, and post-closing processes. Ensure adherence to underwriter requirements and internal settlement procedures. Compliance & Risk Management Help maintain compliance with applicable federal and Virginia laws, regulations, licensing requirements, and underwriter guidelines. Support implementation of ALTA Best Practices and internal compliance protocols. Assist with audits, file reviews, and operational risk management initiatives. Maintain confidentiality of client, financial, and company information. Qualifications Minimum of 5 years of experience in title insurance, settlement services, real estate law, or related field. Prior supervisory or management experience preferred. Strong understanding of residential and/or commercial real estate closing procedures. Knowledge of Virginia settlement and escrow practices preferred. Excellent organizational, communication, and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with title production software, Microsoft Office, and standard office systems. Title License Education High school diploma required. Associate's or Bachelor's degree preferred, but not required based on experience. Physical Requirements Ability to work at a desk and computer for extended periods. Ability to attend meetings and closings as needed. Work Environment This position operates primarily in a professional office environment and may require occasional overtime during high-volume periods. $95,000.00 - $120,000.00 per year
