Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the smooth operation of our office environment. This vital role involves coordinating administrative functions, managing office supplies, supporting staff, and ensuring efficient communication across departments. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to foster a productive and welcoming workplace. As an Office Manager, you will be the backbone of daily operations, enabling our team to focus on delivering exceptional results. Duties Manage daily office operations, including overseeing clerical tasks and administrative workflows Coordinate calendar management and schedule appointments for leadership and team members Handle incoming calls using multi-line phone systems with professionalism and courtesy Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software like Microsoft Office Support customer service efforts by assisting visitors, clients, and vendors at the front desk with excellent phone etiquette and client communication skills Manage office supplies inventory, place orders, and ensure the office is well-stocked and organized Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping Assist with technical troubleshooting related to office equipment and computer literacy needs Proofread documents, correspondence, and reports to ensure clarity and accuracy Facilitate effective communication across departments through email management and internal messaging systems Requirements Proven experience in office management or administrative roles with strong clerical experience Proficiency in Microsoft Office suite including Word, Excel (spreadsheets), and Outlook; familiarity with productivity software is essential Technical proficiency with computer skills such as data entry, file management, and troubleshooting basic hardware/software issues Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong customer service orientation with excellent phone communication skills and phone etiquette Bilingual abilities are a plus for effective client communication in diverse settings Experience with multi-line phone systems and calendar management tools preferred Knowledge of QuickBooks or similar accounting software is highly desirable Demonstrated ability to handle confidential information discreetly and professionally Personal assistant or front desk experience is advantageous for this role Join us as an Office Manager to lead our administrative efforts with energy, precision, and a positive attitude.
