This vital role combines administrative expertise with financial management, ensuring smooth office operations and accurate handling of all billing and vendor transactions. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional communication, organizational skills, and a proactive approach to problem-solving. Your contributions will directly support our company's efficiency, financial health, and overall office harmony. Duties Manage and oversee all aspects of accounts receivable and accounts payable processes, including invoicing, collections, bill payments, and vendor reimbursements. Maintain accurate financial records using QuickBooks or similar accounting software, ensuring timely data entry and reconciliation. Coordinate schedule management for office activities, meetings, and appointments to optimize workflow and resource allocation. Supervise administrative staff and support team members through training, development, and performance feedback to foster a productive work environment. Handle vendor management by establishing strong relationships, negotiating terms, and ensuring timely payments to maintain positive partnerships. Assist with human resources functions such as payroll processing, employee record keeping, and onboarding new team members. Support office management tasks including filing systems, front desk duties, multi-line phone systems operation, and maintaining a professional reception area. Organize events and meetings related to office operations or team building initiatives to promote a cohesive workplace culture. Ensure compliance with company policies and procedures while maintaining confidentiality of sensitive information. Skills Proven experience in office administration with a focus on bookkeeping, clerical duties, and general office management. Strong proficiency in QuickBooks accounting software for financial transactions and reporting. Excellent communication skills with the ability to handle phone etiquette professionally across multi-line phone systems. Exceptional organizational skills to manage calendars, schedules, filing systems, and multiple priorities efficiently. Experience in vendor management including negotiation skills and maintaining positive business relationships. Background in human resources functions such as payroll processing, employee onboarding, and training & development initiatives. Knowledge of medical office management or healthcare-related administrative procedures is a plus. Supervising or team management experience that demonstrates leadership capabilities. Ability to coordinate event planning activities effectively while managing multiple deadlines. Familiarity with office experience in busy environments requiring multitasking across front desk operations and administrative support.
