Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the backbone of our office, coordinating administrative tasks, managing front desk responsibilities, and supporting team members to foster a productive and welcoming workplace. Responsibilities Oversee front desk operations, greeting visitors and managing multi-line phone systems with professionalism and courtesy Maintain office supplies inventory, order necessary materials, and ensure the office environment remains organized and functional Manage calendar scheduling, appointments, and meetings using tools like Google Workspace and Microsoft Office Handle data entry, filing, proofreading, and document management with accuracy and attention to detail Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide exceptional customer service by addressing inquiries promptly via phone or email, ensuring positive interactions Coordinate clerical activities such as copying, scanning, mailing, and maintaining records to streamline office operations Qualifications
MUST HAVE EXPERIENCE
Proven experience in office management or administrative roles with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Excellent phone etiquette and experience handling multi-line phone systems in a professional setting Bilingual abilities are highly preferred to serve diverse client needs effectively Prior experience as a receptionist or personal assistant is advantageous, especially in medical or dental office settings Strong time management skills with the ability to prioritize tasks efficiently under pressure Knowledge of clerical procedures such as filing, proofreading, and record keeping is essential Familiarity with bookkeeping software like QuickBooks and basic accounting principles is a plus Join us to be part of a vibrant team where your organizational talents will make a real difference!
