Onsite The Office Administrator (Bilingual - English/Spanish) provides administrative support and serves as the first point of contact for visitors, applicants, vendors, and employees. This entry-level position is responsible for supporting daily office operations, maintaining records, coordinating administrative activities, and assisting with Human Resources processes. Bilingual proficiency in English and Spanish is required to effectively communicate with employees, applicants, customers, and visitors. The ideal candidate is organized, customer-service oriented, eager to learn, and capable of managing multiple priorities while maintaining confidentiality and professionalism. Essential Duties and ResponsibilitiesAdministrative Support Provide administrative support to the Vice President of Human Resources as well as senior leadership. Answer and direct incoming telephone calls. Greet visitors, applicants, customers, and vendors in a professional manner. Communicate with English- and Spanish-speaking employees, applicants, and visitors. Maintain calendars, schedule meetings, and coordinate appointments. Prepare correspondence, reports, and other business documents. Maintain electronic and paper filing systems. Office Support Receive, sort, and distribute incoming mail and packages. Coordinate outgoing shipments. Order and maintain office supplies and breakroom inventory. Assist in organizing meetings, company events, and employee activities. Maintain an organized and professional office environment. Human Resources Support Assist with new hire onboarding and orientation preparation. Prepare employment paperwork and maintain personnel files. Schedule interviews and communicate with candidates. Assist with employee communications and HR-related correspondence. Provide bilingual support during onboarding, orientation, and employee interactions when needed. Maintain confidential employee information. Support HR projects and initiatives as assigned. Records & Data Management Perform data entry with a high level of accuracy. Maintain company records and databases. Assist with document retention and record organization. Generate reports as requested. General Responsibilities Provide exceptional customer service to employees, applicants, visitors, and vendors. Maintain confidentiality of sensitive company and employee information. Assist other departments with administrative tasks as needed. Perform additional duties assigned by the Vice President of Human Resources. QualificationsEducation High school diploma or GED required. Associate degree in Business Administration, Human Resources, or a related field preferred. Experience Previous administrative, clerical, customer service, or office experience preferred. Entry-level candidates with strong organizational and communication skills are encouraged to apply. Bilingual proficiency in English and Spanish is required. Skills Fluent verbal and written communication skills in both English and Spanish. Proficient in Microsoft Office (Word, Excel, Outlook, and Teams). Strong written and verbal communication skills. Excellent organizational and time management abilities. Strong attention to detail. Ability to maintain confidentiality. Ability to prioritize tasks and work independently. Positive attitude and willingness to learn. Work Environment This position is primarily based in an office environment with occasional interaction in the manufacturing facility. Appropriate personal protective equipment (PPE) must be worn when entering production areas.
