Job Description

Job Overview We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure a smooth, efficient workplace environment. This role is vital in coordinating office activities, managing communication channels, and supporting team productivity. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming office atmosphere. You will play a key role in maintaining office systems, handling clerical tasks, and providing exceptional customer service to both internal teams and external visitors. Responsibilities Oversee phone system, ensuring prompt and courteous communication with clients, vendors, and staff Maintain office supplies inventory, place orders as needed, and coordinate equipment maintenance Handle data entry, filing, and document proofreading to ensure accuracy and organization of all records Support calendar management for executives and team members, scheduling meetings and appointments efficiently Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline office processes Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping Provide customer support by addressing inquiries promptly and professionally in person or via phone/email Coordinate office management activities to optimize workflow and improve overall efficiency Qualifications Proven experience in office management or administrative roles with strong clerical background Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Familiarity with QuickBooks or similar bookkeeping software is preferred Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong communication skills with an emphasis on phone etiquette; bilingual abilities are a plus Demonstrated computer literacy including data entry, proofreading, filing, and general office software use Ability to manage time efficiently while handling multiple priorities simultaneously Personal assistant or medical receptionist experience is desirable but not required Join us as an Office Manager to lead our administrative team with enthusiasm and professionalism! Pay:
$75,000.00 - $100,000.00 per year
