Fulfills the mission of Norwich University by providing administrative and programming support to the Counseling & Wellness Center. This position is primarily being the "face" of the Counseling and Wellness Center, greeting students as they enter the center and assisting them in connecting to providers and maintaining a positive office environment for students. The person is a valuable resource for students in helping them navigate resources on campus and creating a safe and welcoming space. This is a .92 FTE position. Working 40 hours per week from August - May then 3 days per week May - July. Essential Functions Facilitates daily office functions to include: Front desk coverage/student triage Telephone and email communications to and from the office Calendar management Travel accommodations such as registration, lodging, and air travel Scheduling meetings, coordinating necessary arrangements, preparing agendas, and collecting materials as needed, attending, and taking meeting minutes, and producing and distributing minutes to designated parties. Creates documents used in support of presentations. Supports and assists committees led by this office. Supports various projects and grants as assigned. Plans, arranges support for, creates outreach and posters for, and executes events hosted by this office. Researches, compiles, and prepares reports as requested. Produces basic correspondence as assigned. Including referrals to outside providers. Pays invoices. Reconciles purchasing and/or travel cards. Maintains office supplies inventory. Creates and maintains shared folders. Creates, organizes, and maintains student files. Assists in the design, development, and upkeep of related MS Team sites. Assists in the preparation of budgets. Monitors and maintains budget and prepares financial reports as required. Creates and maintains efficient procedures for the office and recommends improvements related to external processes. Intakes and files student records using Electronic Health Record Software Titanium Identifies and assists in the completion of and updating of student information and any additional paperwork. Supports the Center's staff efforts to coordinate, plan, promote, and implement education and outreach initiatives including orientation and open houses. Facilitates new employee onboarding. Assists in implementation of nationally standardized assessments (Healthy Minds etc.). Other Functions Maintains confidentiality of sensitive or private information. Communicates with employees, students, and others in a respectful and clear manner. Serves on University committees, councils, workgroups, or other designated bodies as assigned. Achieves, maintains proficiency in, and utilizes computers, telephones, and other job-related equipment, including related systems and software. Speaks, reads, and writes in English. Communicates by telephone, email, letter, in person, or other means or device. Performs other tasks as assigned by supervisor.Requirements:
High school diploma or equivalent required: Associates degree or equivalent preferred At least 3 years of administrative and/or m experience, preferably in higher education or medical office setting. EMR (Electronic Medical Records), trained in HIPPA compliant procedures, as well as knowledge in teletherapy procedures and coordination preferred. Understanding of HIPAA and FERPA both of which pertain to the confidentiality of records and the protection of personal information. Experience event planning preferred. Proficiency in Microsoft Office suite (Word, Excel, Outlook, SharePoint, and Teams); experience with Banner preferred. Proficiency with graphic design software such as Canva. Able to prepare minutes, agendas, reports, charts, spreadsheets, and presentations. Able to sit, squat, reach, push, pull, and manipulate related equipment; lift 25 pounds; travel outdoors to various parts of the campus. Able to work some evening or weekend hours to support department programming and University events. Environmental Standards Indoor work at a computer workstation. Low level of exposure to noise, dust, fumes, vibrations, and temperature changes.Additional Information:
