About Us Bellingham Golf & Country Club is a private, member-owned club dedicated to providing exceptional experiences for our members and guests. We pride ourselves on creating a welcoming atmosphere, maintaining a high standard of service, and fostering a collaborative team environment. Every position at the Club contributes to the overall member experience, and our Office Manager & Member Services Coordinator plays a key role in making that happen. Position Summary We're looking for an organized, friendly, and detail-oriented professional to become the hub of our administrative office. This position is much more than answering phones. You will be the first point of contact for members and guests, support multiple departments, assist with membership administration, create club communications, and help keep daily office operations running smoothly. The ideal candidate enjoys variety, takes pride in staying organized, communicates professionally, and thrives in a role where no two days are exactly alike. This position starts September 15th, 2026 . What You'll Do Member & Guest Services Welcome members and guests with a warm, professional attitude. Answer phones, emails, and general inquiries. Serve as the first point of contact, directing questions to the appropriate department while ensuring every member feels welcomed and cared for. Assist prospective members by answering questions about membership opportunities and club amenities. Process member payments and apply them accurately to accounts. Prepare new member packets, welcome letters, and membership files. Office Administration Keep the front office clean, organized, and operating efficiently. Manage office, printer, and general supply inventory. Receive and distribute mail, deliveries, and vendor shipments. Maintain confidential records and member information. Create reports, spreadsheets, and administrative documents. Assist with accounts receivable activities, including past-due account tracking and member communication. Club Communications & Marketing Create flyers, calendars, newsletters, menus, signage, and informational graphics. Maintain and update the Club website. Create and manage Clubster posts and event information. Assist with social media content and communication. Support branding and promotional materials for club events, golf programs, and member communications. Event & Club Support Assist with event reservations and confirmations. Prepare printed materials for club events. Coordinate with multiple departments to ensure smooth communication. Support club events as needed, which may occasionally include hosting, serving, or bartending. Operational Support Maintain the member locker system, including assignments, audits, and maintenance requests. Process credit reports and maintain member records. Check in vendor deliveries. Perform other administrative duties as assigned. What We're Looking For We value attitude, professionalism, and a willingness to learn as much as previous experience. Preferred qualifications include:
Excellent customer service and communication skills. Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office and general office technology. Experience with Canva or other graphic design software is highly desired, but not required. Experience creating flyers, newsletters, social media content, or other marketing materials is a plus. Experience updating websites or managing social media is a plus.
