Job Description

Job Summary We are seeking a dynamic and highly organized Office Assistant/ Bookkeeper to lead our administrative operations and financial management. This vital role combines overseeing daily office functions with maintaining accurate financial records, ensuring smooth operations across all departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support our team and foster a productive work environment. Duties Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management to ensure seamless workflow. Oversee vendor relationships, negotiate contracts, and coordinate procurement to support office needs. Supervise administrative staff, providing training and development opportunities to foster a motivated team environment. Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations. Maintain accurate financial records, prepare budgets, and assist with financial reporting to support organizational planning. Manage human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes. Organize company events, meetings, and training sessions to promote team engagement and professional growth. Ensure compliance with office policies and procedures while maintaining confidentiality of sensitive information. Skills Proven experience in office management combined with bookkeeping expertise using QuickBooks or comparable software. You MUST have worked in a law firm setting and have experience with IOLTA Strong organizational skills with the ability to manage schedules, prioritize tasks, and meet deadlines efficiently. Excellent communication skills—both verbal and written—to interact effectively with staff, vendors, and clients. Demonstrated supervisory experience in managing teams within an office environment. Knowledge of vendor management, budgeting, payroll processing, and human resources practices. Experience in event planning and coordinating meetings or training sessions. Familiarity with medical office management or healthcare-related administrative tasks is a plus. Proficiency in filing systems, clerical duties, and front desk operations including multi-line phone systems. Exceptional phone etiquette combined with professional demeanor in handling inquiries and correspondence.
