Aberdeen, Arlington, Bellingham, Bremerton, Burlington, Lynnwood, or Yakima, WA This is an in-person position with periodic travel required to support multiple franchise locations. Position Summary SERVPRO Team Leavens is seeking an Office Operations Manager to lead our office operations team and drive operational excellence across multiple franchise locations. This leadership role is responsible for overseeing office staff, improving workflows, ensuring exceptional customer service, maintaining compliance standards, and supporting the financial performance of the business. The ideal candidate is a collaborative leader who thrives in a fast-paced environment, enjoys developing people, and creates systems that improve efficiency, accountability, and results. Key Responsibilities Lead & Develop the Team Manage, coach, and develop Job File Coordinators, Dispatchers, and office support staff. Provide regular performance feedback, accountability, and professional development. Conduct team meetings and workflow reviews. Promote cross-training and continuous learning across office functions. Foster a positive, collaborative, and service-focused team culture. Drive Operational Excellence Oversee daily office operations and job file workflow across multiple locations. Allocate workloads to maximize efficiency, productivity, and accuracy. Identify operational bottlenecks and implement process improvements. Standardize procedures and best practices across franchise locations. Manage office on-call schedules and after-hours response processes. Deliver Exceptional Customer Service Ensure incoming calls and customer communications are handled professionally and efficiently. Support rapid emergency response and strong job conversion. Resolve escalated customer concerns with professionalism and urgency. Strengthen communication between office, production, reconstruction, and accounting teams. Support Financial Performance Monitor billing pipelines and workflow progression. Partner with accounting and collections teams to support healthy cash flow. Track operational metrics and identify opportunities for improvement. Support timely invoicing, approvals, and account resolution. Ensure Compliance & Accountability Maintain SERVPRO and National Account compliance standards. Monitor audits, documentation, uploads, and reporting requirements. Stay informed of changing corporate requirements and communicate updates to the team. Ensure office processes align with company policies and operational expectations. Qualifications Required Previous leadership or management experience. Strong organizational, planning, and problem-solving skills. Excellent communication and interpersonal skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office and other business software. Preferred Experience in restoration, construction, insurance, property services, or a related industry. Experience leading administrative, operations, dispatch, or customer service teams. Understanding of billing processes, accounts receivable, collections, and operational performance metrics.
