$24+ DOE Job Purpose The Office Manager handles daily business operations to keep landscape and construction projects running smoothly. This role balances administrative organization, basic financial tracking, customer service, and field-to-office communication. Key Responsibilities Office Administration Maintain physical and digital filing systems for active projects. Order office supplies, safety gear, and field uniform inventory. Manage incoming mail, company emails, and phone inquiries. Oversee maintenance of office equipment and utilities. Project & Field Coordination Serve as the main contact between clients, field crews, and owners. Prepare and send client quotes. Schedule client consultations, site assessments, and project start dates. Obtain required city permits and utility dig clearances (e.g., 811). Order project materials as needed. Financial & Billing Support Process field crew weekly timesheets for payroll processing. Prepare and send client invoices. Track accounts receivable and follow up on overdue payments. Log vendor invoices and receipts into accounting software. Client & Vendor Relations Answer customer questions regarding schedules, contracts, and deposits. Coordinate material deliveries with various vendors. Manage vendor accounts. Maintain current subcontractor documents and insurance. Collect and archive customer satisfaction surveys post-project. HR & Compliance Onboard new employees. Track company vehicle registrations, insurance policies, and DOT compliance. Maintain records of employee safety certifications and incident reports.
Required Qualifications Experience :
2+ years in office management, ideally for contractor.
Software :
MS Office, Outlook, and Accounting Software.
Skills :
Highly organized, able to multi-task, and flexibility to pivot with project demands and organizational needs.
Communication :
Clear, assertive verbal skills to communicate with owners, managers, and clients.
Education :
High school diploma required. Work Environment & Physical Demands Sitting at a desk for up to 8 hours per day. Occasional lifting of office supply boxes up to 30 lbs. Fast-paced environment.

From $24.00 per hour
