We have a small but well equipped office located in Kirkland. I will be at the office most of the week and the day working along side you to keep the business running smoothly. We have a specific program called Spectrum, it is a version of QuickBooks but construction oriented. You will need to learn the basics of inputting daily invoices, expenses and categorizing them per job. You will also be running payroll, AP, and various other tasks on hand. The more you can work with payroll taxes and excise tax and reconciling bank statements the better. Give me a call or shoot an email and we can discuss further. I am looking for someone who can step in soon. Mainly for the daily input, we can train you if necessary. Duties Oversee daily office operations Coordinate calendar management and schedules Handle phone systems, direct calls professionally, and provide excellent customer service Maintain accurate data entry records Manage front desk responsibilities, including greeting visitors and answering inquiries with courteous phone etiquette Organize filing systems, document proofreading, and ensure proper document storage for easy retrieval Support bookkeeping tasks using Spectrum and assist with invoicing, billing, and expense tracking Facilitate communication between departments and with clients to ensure timely information flow Requirements Proven experience in office management or administrative roles with at least several years of office experience Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software Experience with Spectrum accounting software is highly desirable Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are a plus to support diverse client and staff communication Demonstrated data entry accuracy, proofreading skills, and attention to detail Ability to manage calendars effectively and prioritize tasks for optimal time management Strong clerical experience including filing, typing, and document processing Customer service orientation with a friendly demeanor at the front desk or via phone support Technical proficiency in office equipment such as printers, scanners, and fax machines; computer literacy is essential Personal assistant experience or background supporting executives is advantageous Join us in creating an efficient, welcoming workspace where your organizational talents will shine!
