Job Description
Position Overview:
We're looking for a detail-oriented, reliable and dependable Front Office Manager who will help us build a calm and efficient office. You'll be involved in check-in/ check out, patient communication, insurance coordination, payment collection, treatment coordination, inventory management, managing patient scheduling based on support staff availability. We have a dedicated scheduler but coordinating treatments will be based key responsibility. Prior Medical Office Manager and Medical Insurance experience is a must.About Us:
We are a boutique specialty clinic focused on Orofacial Pain/ TMJ and Sleep Disorders, led by a board-certified provider. Our mission is to deliver compassionate, high-quality care to patients with complex pain and sleep issues, many of whom have been referred to us by dentists, physicians, and specialists. As a relatively new practice, we are looking for a front desk administrator who will grow with us, and take key responsibility of patient communications and financial coordination. They should help create a warm, organized, and positive patient experience in our office.Schedule:
Tue 9 AM to 4 PM; Wed- Fri, 8 AM-5:30 PM with a 1/2‑hour unpaid lunch breakKey Responsibilities:
Greet patients warmly and manage check-in/check-out processes Schedule appointments and manage the provider's calendar Answer financial questions related phone call and respond to emails promptly and professionally Verify medical insurance coverage and eligibility provided by Biller Check and track pre-authorization requirements, gather and submit required documentation Communicate insurance coverage, authorization status, and expected out-of-pocket costs to patients clearly and compassionately Coordinate with the provider to clarify documentation or treatment plan details Manage self-pay patients: provide estimates, collect payment, issue receipts, and record transactions Collect co-pays and assist with payment-related questions Submit required forms and documentation to the external billing team Maintain accurate patient communication records in the EHR Coordinate lab cases and dental supplies Coordinate sending/ receiving referrals, consult letters, and medical records Support basic office operations (supplies, mail, vendor management, calls, etc.) Networking and referral managementWhat We're Looking For:
Experience working in as an Office Manager (1+ year preferred) Friendly, upbeat, emotionally mature, dependable, shows up to work Comfortable discussing financial and insurance matters with patients Highly organized, attentive to detail, Team Player Ability to quickly adapt to new and evolving processes Complete assigned tasks Eager to learn and grow with a startup practice Proficient with Medical EHRs, scheduling software, and Microsoft Office Is a teamplayerWhat We Offer:
