Job Description

Our membership includes nearly 500 local governments and districts that collaborate to share risks, reduce costs, and ensure stability in uncertain times.
Role Summary:
The Office Administrator is responsible for the day‑to‑day management of the office and serves as the primary administrative and governance support for the organization. This role ensures smooth operations, professional board support, effective communication, and adherence to governance and administrative best practices. The Office Administrator is a key point of contact for members, stakeholders, and the public, and provides confidential, high‑level support to leadership and the Board of Directors. Essential Functions Office & Operations Management Regular and reliable attendance in-person at the Spokane office five days per week. Manage daily office operations to ensure a professional, efficient, and well‑organized work environment Perform daily opening and closing procedures at the Enduris office Serve as the main point of contact for incoming phone calls, visitors, and general inquiries Maintain office systems, supplies, and vendor relationships Track various consultant and service provider contracts, renewal dates, terms, and content Coordinate schedules, meetings, and logistics as needed Develop, document, and improve administrative procedures to support organizational continuity Assist with maintaining the Enduris website, uploading content and managing documents in the board portal Cultivate positive relationships with across all internal departments fostering a culture of collaboration and innovation Assist other departments with general office administration tasks as need Serve as a commissioned Notary Public to witness and authenticate signatures Board & Governance Support Serve as primary administrative support to the Board of Directors and board committees Prepare and distribute board and committee agendas, packets, and supporting materials Coordinate board meeting logistics including attendance tracking, room setup and meal planning Attend board and committee meetings; take, prepare, and maintain official meeting minutes Maintain board records, resolutions, bylaws, policies, and governance documents Support compliance with applicable governance requirements, public records, and retention practices Coordinate board onboarding, training materials, and annual governance calendars Travel Arrangements Make travel arrangements for Board of Directors, Executive Leadership and staff as needed Assists with group conference registrations, hotel bookings and travel details Maintain conference schedules and attendance records Executive & Leadership Support Provide administrative support to the Executive Director and leadership team Track action items, deadlines, and follow‑ups from leadership and board meetings Draft correspondence, reports, presentations, and internal communications Exercise discretion and professionalism when handling confidential and sensitive information Records, Compliance & Information Management Maintain official records, files, and document management systems (digital and physical) Maintain contact records, verifying and processing changes as needed Support audits, reviews, and public records requests as applicable Assist with policy distribution, acknowledgments, and administrative compliance tracking Ensure accuracy, completeness, retention and accessibility of organizational records Training Room Management Maintain the Enduris training room schedule Book room requests, respond to usage inquiries, and coordinate with renters Provide brief tours or showings of the room when requested Provide renters with orientation of the training room and equipment as needed Required Skills/Competencies Strong understanding of organizational governance, board processes, and administrative best practices Excellent written and verbal communication skills High level of accountability, discretion, judgment, and professionalism Strong attention to detail, organizational skills, and the ability to manage multiple priorities and deadlines Proficiency with Microsoft Office, document management systems, and virtual meeting platforms Ability to work independently while supporting team and board functions Customer‑service mindset with the ability to interact effectively with diverse stakeholders Physical Activities /
Working Conditions:
In office 5 days a week 8AM-5PM M-F Occasional evening or extended hours for board or committee meetings may be required Office environment, interacting with other employees in person or virtually Ability to sit, stand, communicate, and use office technology for extended periods Qualifications Minimum of 3-5 years of progressively responsible administrative experience , preferably in a public entity, nonprofit, or governance‑focused organization Experience supporting boards, committees, or executive leadership strongly preferred Familiarity with records retention, public meetings, or governance frameworks is highly desirable Associate's or Bachelor's degree preferred (or equivalent experience)
Pay:
$65,000.00 - $80,000.00 per year
