Full-Time, Permanent Blue Water Shipping is seeking to fill an opening for an experienced Office Administrator in our Vancouver, WA office.
Position Overview:
As an experienced Office Administrator, you will play a pivotal role in managing critical administrative and operational functions within the organization. Your responsibilities will span across providing high-level executive assistance, coordinating company functions, providing administrative management, and managing office systems to ensure a well-organized, efficient, and productive work environment.
Key Responsibilities:
Office Management:
Oversee day-to-day office operations, ensuring a productive, organized, and comfortable working environment. Manage office supplies, equipment, and vendors, ensuring the office runs efficiently and cost-effectively. Coordinate office events, team outings, and other corporate functions. Serve as the first point of contact for office-related issues, from troubleshooting IT needs to handling building maintenance requests.
Operations Support:
Assist operational teams (Operations and Documentation) with administrative matters.
Executive Support:
Provide comprehensive administrative support to the Chief of Strategy including calendar management, scheduling meetings, prioritization support, travel coordination, and expense management. Prepare and manage correspondence, reports, presentations, and documents for meetings and briefings. Act as a liaison between executives, employees, clients, and external partners, maintaining a professional and positive image of the company. Assist with project management tasks, ensuring deadlines are met and deliverables are tracked.
Human Resources Support:
Assist with recruitment efforts, including posting job openings, screening resumes, scheduling interviews, and coordinating onboarding processes for new hires. Maintain and update employee records, ensuring compliance with HR policies and confidentiality standards. Support benefits administration, including assisting employees with benefits-related inquiries and processing claims.
Qualifications :
Proven experience as an Executive Assistant, Office Manager, or similar role. Excellent organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong communication skills, both written and verbal, with the ability to interact with all levels of personnel professionally. Solid understanding of HR processes such as recruitment, employee relations, and benefits administration. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Proficiency in Apple OS and iOS preferred, but not required. Exceptional attention to detail and problem-solving skills. High degree of professionalism and discretion in handling sensitive information. Ability to work independently and as part of a collaborative team.
