Job Description
Job Overview We are seeking a detail-oriented and proactive Office Assistant/Hospitality Specialist to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office and back shop by providing exceptional organization and support. This position requires strong organizational skills, proficiency in office software, communication skills, capable of handling a variety of administrative tasks in a fast-paced environment, and the ability to manage multiple tasks efficiently. We value team members who are solution-oriented and take initiative without complaints or procrastination. Duties Manage repair operations, including picking parts, managing a the repair work flow for each goldsmith on the daily, handling incoming calls using phone systems. Provide excellent customer support by addressing inquiries and directing them to appropriate personnel. Maintain organized filing systems and assist with clerical tasks such as data entry and document preparation. Utilize Google Calendar for scheduling, calendar management for repair dates, and collaboration with team members. Assist in managing shop supplies and inventory, ensuring that necessary materials are readily available. Support team members with various administrative tasks as needed to enhance productivity. Maintain a clean and welcoming shop environment for staff and visitors. Requirements Strong organizational skills with the ability to prioritize tasks effectively. Able to Multi Task. Experience with office management software, particularly Google Workspace. Proficiency in using phone systems for effective communication. Bilingual abilities are a plus, enhancing communication with a diverse clientele. Previous experience in front desk operations or customer support is preferred. Excellent typing skills with attention to detail for accurate data entry. Ability to work independently as well as part of a team in a fast-paced environment. Willing to learn. Excellent written and verbal communication skills.
