This role blends day-to-day office coordination with hands-on accounting responsibilities — including billing, accounts payable and receivable, and financial reporting — all within the fast-paced rental equipment industry Accounting & Financial Duties Process and manage accounts payable and accounts receivable; reconcile discrepancies promptly Perform monthly credit card reconciliations Active participant in monthly financial close and reporting. Maintain accurate records of equipment Process vendor payments and maintain W-9 and 1099 records Assist with tax filings, sales/use tax returns, and compliance documentation Office Administration Duties Greet visitors and manage the front desk with professionalism, ensuring a positive first impression for clients and guests Point of contact for customer inquiries, vendor communications, and incoming calls Manage rental agreements, customer files, and equipment certificates of insurance (COIs) Backup Dispatch Manager to include coordinating equipment scheduling and dispatch. Order and manage office supplies, safety materials, and breakroom inventory Manage incoming and outgoing mail, courier shipments, and document filing systems Support management with ad hoc reporting, scheduling, and special projects Qualifications Required High school diploma or GED required; associate's degree in accounting or business preferred 3+ years of combined office administration and bookkeeping/accounting experience Proficiency in Microsoft Office Suite Strong knowledge of basic accounting principles (AP/AR, reconciliation, general ledger) Excellent organizational and multitasking skills in a high-volume environment Ability to handle confidential financial information with discretion Valid driver's license Preferred Experience in equipment rental, construction, or a related field Familiarity with rental management software InTempo/ RentalMan Experience with sales/use tax filings Compensation & Benefits Competitive salary, commensurate with experience Health, dental, and vision insurance Paid time off and paid holidays Physical Requirements This position is primarily sedentary. Occasional lifting of up to 25 lbs. Ability to sit at a computer workstation for extended periods. May require occasional visits to the rental yard.
