Job Description

Job Overview We are seeking a dynamic and highly organized Law Firm Administrator to lead the operational functions of our legal practice. This vital role involves overseeing daily office management, supervising administrative staff, managing financial processes, and ensuring the smooth delivery of legal services. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient and welcoming office environment. As the backbone of our firm's operations, you will play a key role in supporting attorneys, staff, clients, and vendors to foster a productive and professional workplace. Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for attorneys and staff Supervise administrative team members, providing training, guidance, and performance feedback to ensure high standards of service Manage vendor relationships, including negotiating contracts and coordinating services such as office supplies, IT support, and facility maintenance Handle bookkeeping and financial tasks using QuickBooks legal accounting software; oversee billing, invoicing, payroll processing, and expense tracking Coordinate event planning for firm functions, client meetings, seminars and community outreach activities Maintain organized filing systems—both physical and digital—and ensure compliance with confidentiality protocols Assist with human resources functions such as onboarding new employees, tracking leave requests, and supporting staff development initiatives Support budgeting efforts by monitoring expenses and preparing financial reports for review by senior management Ensure efficient schedule management for staff to optimize productivity and client service Manage office supplies inventory and oversee vendor payments to maintain smooth operations Qualifications Proven experience in office or administrative management within a professional setting Strong supervisory skills with experience leading teams in a fast-paced environment Proficiency in QuickBooks and law firm specific accounting software for bookkeeping Excellent organizational skills with keen attention to detail; ability to manage multiple priorities effectively Exceptional communication skills—both verbal and written—and professional phone etiquette Experience with event planning and coordinating meetings or firm functions Knowledge of human resources practices including onboarding, training and development, and employee relations Familiarity with office technology such as multi-line phone systems, calendar management tools, filing systems (physical and electronic), and basic office equipment Ability to handle confidential information discreetly while maintaining professionalism at all times Prior experience in legal office management or legal administrative roles is advantageous but not required Join us as we build an efficient legal practice where organization meets excellence! Pay:
$70,000.00 - $80,000.00 per year
