The Role We're looking for an Administrative Assistant to help keep our Bentonville studio organized, welcoming, and running smoothly. This is a hands-on role for someone who notices what needs to be done and takes care of it. You'll support day-to-day office operations, coordinate meetings and internal events, help senior leadership stay organized, manage office supplies and shared spaces, and contribute to the culture that makes

You don't need to know how to design a building. You do need to know how to keep a lot of moving pieces organized, communicate clearly, and jump in when your team needs you. This is an in-person, part-time position of 30 hours or less per week , Monday-Friday, with a typical start time of 8:00 a.m. What You'll Do Office Operations Keep kitchen, conference rooms, and common areas clean, organized, stocked, and welcoming. Monitor and maintain office supplies, groceries, and shared resources. Receive, sort, distribute, scan, and route mail and documents. Help maintain an organized and functional office environment. Coordinate occasional office errands and deliveries as needed. Meetings & Office Events Coordinate Lunch & Learn communications, scheduling, room reservations, and logistics. Prepare conference rooms and shared spaces for internal and external meetings. Assist presenters and meeting hosts with setup and logistics. Handle post-meeting cleanup and reset. Support office events, celebrations, and special initiatives from setup through breakdown. Administrative & Leadership Support Coordinate calendars, meetings, and invitations for senior leadership. Assist with routine administrative and organizational tasks. Prepare and send gifts and correspondence on behalf of senior leadership. Assist with strategic planning materials, visual displays, presentations, and other internal initiatives. Coordinate check-processing tasks, including obtaining signatures, scanning, logging, and routing invoices to HR. Culture & Team Experience Help coordinate employee birthdays, including desk decorations, breakfast orders, and communications. Support BUF culture initiatives and team engagement activities. Help bring our No Bad Days culture to life through the small details that make people feel welcomed and appreciated. Facilitate office traditions, like our weekly Moments of Analogue. Qualifications Required High school diploma or GED. 3+ years of experience in administrative, office, receptionist, hospitality, or similar support roles. Strong written and verbal communication skills. Strong organizational and time-management skills. Ability to manage multiple priorities with accuracy and follow-through. Basic proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams. Ability to work independently while also collaborating effectively with a team. Reliable transportation for occasional work-related errands, if needed. Preferred Experience working in an architecture, engineering, interior design, construction, or other professional services environment. Experience coordinating meetings, events, calendars, or office operations. Familiarity with Microsoft 365 and common workplace collaboration tools. Physical & Work Environment Requirements This position is primarily performed in an office environment and requires the ability to: Sit, stand, and move throughout the office during the workday. Use a computer and other standard office equipment. Communicate effectively in person, by phone, and electronically. Lift and carry items weighing up to 30 pounds. Push or pull office equipment or supplies as needed. Occasionally bend, stoop, crouch, kneel, reach, or climb as necessary to complete office-related tasks. Occasionally drive for work-related errands, if required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the position.
