The
DOD STARBASE
Secretary provides administrative and clerical support for the Department of Defense
STARBASE
program within the school district. This position assists with daily office operations, communication, scheduling, recordkeeping, purchasing, and program coordination to ensure efficient and effective delivery of
STARBASE STEM
education services. The secretary serves as a liaison between district staff, students, parents, military partners, and community stakeholders. Essential Duties and Responsibilities Provide clerical and administrative support for the
DOD STARBASE
program. Greet visitors, answer telephone calls, respond to emails, and provide information regarding program activities and procedures. Maintain student records, attendance reports, program documentation, inventories, and confidential files. Assist with scheduling student visits, field trips, meetings, transportation, and program events. Prepare correspondence, reports, newsletters, presentations, purchase orders, and other program-related documents. Assist with data entry, budgeting records, reimbursements, and financial tracking as directed. Maintain office supplies, instructional materials, and inventory records. Coordinate communication between district staff, teachers, parents, military personnel, and community partners. Assist with organizing STEM events, family engagement activities, camps, and outreach programs. Support registration, sign-in procedures, and event logistics for
STARBASE
activities. Operate standard office equipment including computers, printers, copiers, and multi-line phone systems. Ensure compliance with district policies, Department of Defense
STARBASE
requirements, and confidentiality procedures. Assist the
STARBASE
Coordinator and instructional staff with daily operational needs. Perform other duties as assigned by the supervising administrator. Qualifications High school diploma or equivalent required. Associate degree or business/office certification preferred. Previous clerical, secretarial, or administrative support experience preferred, preferably in an educational setting. Proficiency in Microsoft Office, Google Workspace, database systems, and general office technology. Strong organizational, communication, customer service, and interpersonal skills. Ability to manage multiple tasks, maintain confidentiality, and meet deadlines. Ability to work collaboratively with students, staff, military personnel, parents, and community members. Physical Demands Ability to sit, stand, walk, and perform routine office tasks for extended periods. Ability to lift and carry office supplies and materials up to 25 pounds. Ability to operate office equipment and technology tools effectively. Working Conditions Office and educational environments with moderate activity and interruptions. Frequent interaction with students, staff, parents, military partners, and community stakeholders. Occasional evening or weekend activities may be required for special events or STEM programs.
