Clerical Apply Description Job Summary:
This position is extra help/part-time and limited to 29 work hours per week. The Extra Help - Administrative Specialist I work under general supervision and, will be responsible for greeting visitors, answering phones, taking messages, managing email correspondence, accepting packages, assisting with events as needed, and other duties as assigned. This position is governed by state and federal laws and agency/institution policy.
Duties and Responsibilities:
Greet visitors with a positive, helpful attitude. Announce visitors as necessary. Assist with a variety of administrative tasks including, but not limited to, copying, faxing, taking notes, perform data entry, and assisting with special events. Assist with preparing Board room and Training room for meetings and special events. Answer phone in a professional manner, routing calls and taking messages as necessary. Provide excellent customer service. Strong time management skills. The ability to work as part of a team. This position reports to the Executive Assistant to the President.
Knowledge, Abilities, and Skills:
Knowledge of record keeping procedures. Knowledge of basic arithmetic. Knowledge of basic grammar. Knowledge of computers and software applications. Ability to conduct research and compile data into report form. Ability to establish and maintain filing systems. Ability to operate standard office equipment. Ability to analyze documents to determine compliance with rules, regulations, and procedures. Ability to communicate both orally and in writing.
Qualifications Minimum Qualifications:
The formal education equivalent of a high school diploma. Other job-related education and/or experience may be substituted for all or part of these basic requirements.
Preferred Qualifications:
Associate degree along with 1+ years of professional experience in higher education. Consistently maintaining a high level of confidentiality regarding all personal information. Impeccable standards when it comes to attention to details. National Career Readiness Certificate (NCRC).
