Job Description
Description We are looking for an Administrative Assistant to support a commercial construction team in West Memphis, Arkansas. This Long-term Contract opportunity is ideal for someone who thrives in a fast-paced site office environment and can balance day-to-day administrative coordination with hands-on workplace support. The person in this role will work closely with onsite team members and client representatives, helping keep schedules, meetings, supplies, and shared spaces organized. Success in this position requires professionalism, strong attention to detail, and comfort working alongside construction personnel in a trailer-based office setting.
Responsibilities:
- Coordinate daily administrative activities for the onsite construction team, including scheduling, tracking site-related requests, and maintaining organized spreadsheets and records.
- Support client-facing operations by arranging meetings, preparing seating plans, managing calendars, and ensuring workspaces are ready for new team members.
- Process expense documentation and reports using tools such as Concur or similar platforms while maintaining accuracy and timeliness.
- Oversee food and beverage logistics for the site office, including ordering catering, setting up meals, replenishing coffee and kitchen items, and cleaning shared kitchen and work areas afterward.
- Assist with reception and office support tasks such as answering inbound calls, responding to routine inquiries, and directing requests to the appropriate team members.
- Maintain Outlook calendars and other Microsoft Office documents to help the team stay aligned on meetings, bookings, and daily priorities.
- Help coordinate onsite and offsite gatherings by confirming logistics, preparing materials, and ensuring smooth execution of each event.
- Work collaboratively with existing administrative staff and construction personnel to keep the trailer office running efficiently and professionally. Requirements
- Previous experience in an administrative support, office assistant, or receptionist role in a busy work environment.
- Strong skills in data entry, calendar coordination, and general office administration.
- Experience using Microsoft Office applications, especially Outlook, Excel, and Word, for scheduling and documentation.
- Familiarity with expense reporting systems such as Concur or similar software.
- Ability to work effectively in a construction, industrial, or other hands-on work setting with a detail-oriented and adaptable approach.
- Willingness to work in a trailer-based office and assist with maintaining common areas, including kitchen and workspace cleanup.
- Dependable work history with demonstrated stability in prior roles and a consistent record of strong performance.
