This role is vital in supporting daily administrative functions, managing front desk responsibilities, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong organizational skills to handle a variety of clerical tasks efficiently. Responsibilities Greet visitors and clients professionally at the front desk, ensuring a welcoming environment. Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette. Perform data entry and maintain organized filing systems for documents, records, and correspondence. Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation, editing, and collaboration. Assist with calendar management and scheduling appointments or meetings for staff members. Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices. Handle general office duties such as photocopying, proofreading documents, managing supplies inventory, and maintaining cleanliness. Qualifications Proven office experience with strong clerical and administrative skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. Experience with QuickBooks or other bookkeeping software is preferred. Excellent organizational skills with the ability to prioritize tasks effectively. Strong communication skills, including phone etiquette; bilingual abilities are a plus. Demonstrated ability to handle multi-line phone systems and provide exceptional customer support. Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a bonus. High school diploma or equivalent required; additional certifications in office management or administrative support are beneficial.
