Job Description

Position Summary:
Provides clerical and administrative support for the Arizona Long Term Care System (ALTCS) Department in a manner that is both high quality and rapid by performing the following duties personally. Responsible for ensuring that all critical tasks are fulfilled on a timely basis.
Critical Tasks:
Provides clerical and administrative support services to team members such as, but not limited to, answering telephone calls, taking messages, researching information and assisting in solving problems. Answer telephones and give information to callers, take messages, transfers calls to appropriate individuals without delay, and contact members to verify service delivery. Greets patients, members and providers upon their arrival at the facility and ensures that they are directed properly while recording any necessary information as required by policy. Schedules member appointments in full coordination with Case Managers. Submission of prior authorization requests. Complies fully with all confidentiality regulations and policies while not disclosing any patient or member information with unauthorized persons. Use computers for various applications u tilizing Microsoft Word, Excel and Outlook, for such programs as database management and/or word processing. Creates, maintains, and enter information into databases. Properly executes and maintains accurate and complete documentation of required paperwork and authorizations. Sets up and manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. Operate office equipment such as fax machines, copiers, or phone systems and arranges for repairs when equipment malfunctions. Attend marketing and outreach events as directed to represent the department. Completes forms in accordance with company procedures, enters authorizations for approved services. Produces and mails routine cm letters and program educational materials. Maintains and orders office supplies. Coordination of Vehicle Maintenance. Provides education on the ALTCS program. Demonstrates ability to regularly change priorities to accomplish all tasks despite frequent interruptions. Demonstrates ability to clearly communicate, both orally and in writing, while performing all essential functions. Performs other special projects and duties as assigned.
Required Qualifications:
High School Diploma, with an Associate Degree preferred. One to three years administrative experience in a medical environment, with behavioral health experience preferred. Experience working within a Native American environment preferred. CPR Certification. State of AZ Driver's License with no significant violations during the last 5 years. Fingerprint clearance for TCH only. Demonstrated ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures. Interest in medical subjects, patient services/care, and customer service. Prior medical environment work experience is preferred.
