Job Overview:
The Administrative and Office Assistant position is a key role at Concord. This position's main responsibilities include helping with administrative duties, managing the front desk, maintaining the kitchen and common areas, supply purchasing and phone management. To be successful in this role, you will demonstrate a professional and friendly personality, and an uncompromising desire to deliver exceptional customer service. This is a full-time, in office position based at our Beverly Hills location. This is an excellent opportunity for someone looking to break into property management. This role will report to the President of Concord Property Management and will directly support the Regional Manager over the Los Angeles portfolio. Prior experience with property management is a plus, including but not limited to on-site manager experience, experience with Rent Rolls, Tenant Ledgers, Tenant Relations, and Property Management software.
Responsibilities:
Serve as the point person for key administrative duties including: mail runs, supply and equipment purchasing, bank runs, I.T. coordination, and calendar management. Order office supplies as needed, track expenses, and maintain inventory while staying within the office budget.
Perform receptionist duties:
greet visitors, answer and direct phone calls, accept deliveries. Receive and sort incoming mail and deliveries and manage outgoing mail including daily mail runs. Oversee conference room scheduling. Manage office music, temperature, décor and presentation. Coordinate office maintenance, repairs, and vendor services. Communicate with property management and service providers to resolve facility issues. Ability to lift and carry large packages. Assist with basic accounting tasks as needed - including but not limited to bank runs and helping tenants with basic questions about rent balances.
Handle key kitchen duties including:
snack/coffee purchases, stocking and resupply, kitchen related memos (i.e. "Friday Fridge Purge") Act as Administrative Assistant to Regional Managers including uploading, filing, mailing, documents preparation, and research. Check scanning. File management. Assist with other projects as needed.

Proven experience as a Receptionist, Front Desk Manager, Accounting Clerk, or Administrative Assistant is a plus. Hands-on experience with office machines (e.g. telephones and printers)
