This is an in office support position focused on helping the firm stay organized and making sure routine administrative tasks are completed accurately and promptly. The ideal candidate is reliable, works with urgency, pays attention to details, and is comfortable assisting wherever needed. Responsibilities Scan, upload, organize, and properly save documents into client files. Prepare, print, copy, and organize documents. Stuff envelopes and prepare outgoing mail. Handle incoming and outgoing mail. Assist with maintaining organized physical and electronic files. Contact medical providers to request medical records, medical reports, billing records, and other case related documents. Follow up with medical offices regarding outstanding records and reports. Confirm the status of requested medical documentation and communicate updates to the appropriate team member. Assist case managers and other members of the legal team with administrative tasks. Help organize documents received from clients, medical providers, insurance companies, and other third parties. Assist with preparing documents for mailing, scanning, filing, or review. Perform basic data entry and update information in the firm's case management system. Answer or make routine telephone calls when requested. Assist with general office organization and administrative projects. Help maintain office supplies and keep shared work areas organized. Perform other reasonable administrative duties needed to support the law firm. Qualifications Strong organizational skills. Excellent attention to detail. Dependable and punctual. Comfortable making telephone calls and following up with medical offices. Ability to manage repetitive tasks accurately. Ability to follow instructions and complete assignments promptly. Basic computer skills, including email, scanning, document management, and Microsoft Office. Professional communication skills. Ability to work well with attorneys, case managers, staff, clients, and medical providers. Prior law firm or personal injury experience is helpful but not required.
