POSITION OVERVIEW
We are seeking an experienced New Accounts & Deposit Operations Specialist for a central back-office operations role with a leading commercial banking institution in Brea, CA . This position focuses on the operational setup, documentation verification, entity review, and compliance auditing for new and existing accounts (Checking, Savings, IRAs, CDs, Corporate, and Fiduciary). Working behind the scenes, you will ensure all legal documentation meets bank regulatory requirements, process complex account modifications/supersedes, execute daily operational reports, and support branch audit certifications (ICRP).
KEY RESPONSIBILITIES
New Account Setup & Documentation Verification:
Review and process new account applications, verify legal documentation for complex entities (Fiduciary, Corporations, LLCs, Partnerships), conduct credit and background verification checks, and assign account structures in the core system.
Account Modifications & Maintenance:
Process account updates, supersedes, signature card changes, and account transfer requests with high accuracy and strict adherence to bank policy. Audit Certifications & Compliance (ICRP): Support daily, weekly, and monthly branch audit certifications, callbacks, and internal compliance controls (BSA/AML, Reg CC, dual-control procedures).
Operational Reporting & System Processing:
Execute daily data entry, maintain database accuracy, generate operational reports, and perform document scanning/archival into central management systems.
Escalated Operational Support:
Resolve complex account inquiries, research documentation discrepancies, and provide operational guidance to branch service teams.
REQUIRED SKILLS & QUALIFICATIONS
Experience:
3+ years of financial institution experience in deposit operations, new accounts documentation processing, or back-office banking operations.
Documentation Expertise:
In-depth knowledge of legal entity documentation (Corporate resolutions, Operating Agreements, Trust/Fiduciary agreements, Partnership papers) and CIP/KYC requirements.
Compliance & Audit:
Working knowledge of banking compliance regulations, BSA/AML procedures, and internal control/audit frameworks (ICRP).
Technical Proficiency:
Experience operating core banking software platforms and intermediate skill in Microsoft Office (Excel, Word, Outlook).
Education:
Associate's Degree in Business Administration, Finance, or equivalent industry experience.
