Job Description
Job Summary We are seeking a welcoming, organized and energetic Part-Time Administrative Assistant to be the face and voice of our office. You will be the first point of contact for our clients and the backbone that helps our team run smoothly. This position offers an exciting opportunity to develop your administrative skills while contributing to an organization committed to excellence. This is a Part-Time position and Full-Time during tax season. (16 to 20 hours per week non-tax season and 40+ hours per week mid-February through April 15th.) Duties Manage front desk responsibilities, greet clients, answer phone calls, respond to general emails with professionalism and warmth Maintain organized filing systems, both physical and digital Schedule appointments and manage calendars using Outlook and Lacerte Assist with office management tasks such as managing office supplies and mail distribution Keeping the reception area stocked and well organized Clerical duties including typing correspondence, creating invoices, billing clients and maintaining accurate records Assemble tax returns, prepare client documents and assist with data entry Provide personal assistance when needed, including calendar management, copying, faxing, and emailing Requirements Prior office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and quick to learn new tax/scheduling software Familiarity with QuickBooks for basic data entry tasks is a plus Excellent phone etiquette with a friendly professional demeanor Strong computer literacy, including typing skills and proofreading capabilities Exceptional time management skills with the ability to prioritize tasks efficiently A keen eye for detail and the ability to multitask in a fast-paced environment (especially during tax season)
