GENERAL Under supervision of the Maintenance Manager, Maintenance Clerk provides thorough, timely and accurate clerical and administrative support to the Maintenance Department. Collects data and makes reports of work of mechanics, repairs of buses and other vehicles, and fuel consumption. Maintains Maintenance Department files as directed and required.ESSENTIAL DUTIES/MAJOR RESPONSIBILITIES
Provides advanced clerical/administrative support to the Bus Maintenance Department including: Reviews and analyzes department reports and data collection documents to ensure compliance with client-determined bus maintenance standards (such as PMI schedule). Collects and documents receipt of transit vaults Maintains confidentiality of all information Prepares daily, weekly and monthly reports of maintenance activity, such as road call history, update of daily bus status sheets, fuel sheets, and (occasionally) long term down report. Maintains confidentiality of all information Collects and reports data, such as total mileage, total work hours, number of road calls, fuel and oil consumption per bus, for use in preparation of the monthly invoice to client. Maintains accurate records of receipts of deposit and balances physical count with computer generated data Provides recordkeeping and monitoring of tool allowance expenditures and administers the ASE bonus program for mechanics. Enters a variety of data into spreadsheet and database applications. Provides other clerical and administrative support as required.REQUIREMENTS OF POSITION
Experience:
Administrative/clerical experience in data entry, collection and reporting required. Experience in transportation or public transit industry. Experience in automotive, truck or bus maintenance function preferred.Education, Licensing, and Certifications :
High school diploma or GED required. Position requires a valid CA driver License. Must be 21 or olderKnowledge, Skills, Abilities:
Ability to use standard PC workstation with MS Office, and general knowledge of computer database technology required. Ability to learn EAM (Octave) and other applicable customized software programs for bus fleet maintenance required. The position requires the ability to prioritize tasks and assignments. Basic written and oral communication skills required. Must have strong organizational skills, and ability to pay close attention to detail. Ability to gather data, enter data into database or spreadsheet, compile reports as required. Knowledge of/or ability to learn systems, processes and practices in Bus Fleet Maintenance. Basic math skills are required.Physical Requirements:
Job entails physical demands such as walking, bending, stooping, sitting, and occasional lifting. Must be able to perform tasks involving manual dexterity, such as use of a computer and 10-key. Must be able to lift up to 10 pounds. Work may at times require more than 8 hours per day to perform the essential duties of the position, and hours of work may change. Duties will normally be performed in an office environment, but with occasional outdoors inspection work.
