Role:
We are currently seeking a detail-oriented and highly organized Administrative Assistant with a background in finance/accounting to join our team. In this role, you will be the backbone of our daily office operations while supporting our financial reconciliation and compliance document management.
Key Responsibilities:
Financial Support:
Assist with Accounts Payable (AP) and Accounts Receivable (AR) processes, including data entry, bill verification, and payment tracking.
Logistics Billing Reconciliation:
Carefully review and reconcile invoices from freight forwarders, customs brokers, and carriers (e.g., ocean freight, customs duties, local handling fees) to ensure billing accuracy.
Reporting & Documentation:
Assist the finance team in preparing monthly expense reports and organizing financial documents required for Customs Bonds or credit applications.
Data Entry:
Accurately input financial and operational data into the company's ERP system/QuickBooks.
Compliance & Document Control:
Manage, organize, and file crucial import/export documents, including POAs (Power of Attorney), customs release notices, and shipping manifests.
General Administrative Duties:
Handle daily office operations, receive incoming mails, order office supplies, and coordinate meetings.
External Communication:
Maintain professional and fluent communication with external vendors, logistics partners, and service providers via phone and email.
Qualifications:
Education:
Associate or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Experience:
Over 3 years of experience in administrative and bookkeeping/accounting roles. Experience in logistics, freight forwarding, or the import/export industry is highly preferred.
Software Skills:
Highly proficient in Microsoft Office Suite, especially Excel (Pivot Tables, VLOOKUP, etc.) . Experience with QuickBooks or similar accounting/ERP software is a strong plus.
Key Traits:
High sensitivity to numbers, detail-oriented, strong sense of responsibility, and the ability to multitask in a fast-paced environment.
Language:
Bilingual in English and Mandarin Chinese is required (fluent in speaking, reading, and writing) to effectively communicate with international partners and review bilingual documents.
Pay:
$20.00 - $25.00 per hour
