Position Summary The Administrative Assistant provides administrative support to the Human Resources Department and assists with day-to-day office operations. This position performs a variety of clerical and coordination duties, including data entry, recordkeeping, document preparation, scheduling, and departmental coordination. The position also provides back-up coverage for the Main Reception area during scheduled breaks, lunches, absences, and other business needs. The ideal candidate is organized, detail-oriented, dependable, professional, and able to manage multiple priorities while maintaining confidentiality. Essential Job Functions Administrative Responsibilities Perform data entry and maintain accurate records and documentation. Organize, file, scan, and maintain electronic and physical records. Prepare forms, correspondence, reports, and other administrative materials. Coordinate schedules, meetings, room arrangements, and related logistics. Process and track invoices and maintain department supplies, badges, and other resources. Assist with meetings, company activities, and events, including preparation of materials, room setup, and attendance tracking. Support document organization and digitalization initiatives. Assist with administrative projects, tracking, and follow-up activities. Provide general clerical and administrative assistance to the department. Perform other duties as assigned. Reception Coverage Provide daily reception coverage for the Main Receptionist during scheduled breaks, lunches, absences, and other business needs. Answer, screen, and route incoming calls professionally. Greet and assist employees, visitors, vendors, and guests. Maintain visitor records and issue visitor badges in accordance with company procedures. Assist with incoming and outgoing mail, FedEx, and other front-office activities. Human Resources Preferred 1 year experience. Interested in continuing to develop their knowledge and experience in Human Resources. Proven ability to handle confidential, sensitive, and privileged information with discretion. Qualifications Minimum of 2 years of experience in Human Resources, preferably in an HR Assistant, HR Coordinator, or similar administrative role. Previous Human Resources experience preferred, but not required. High School Diploma or GED required. Bilingual English/Spanish required. Proficient in Microsoft Office, including Word, Excel, and Outlook. Experience with data entry, filing, recordkeeping, and general office administration. Strong organizational skills and attention to detail. Ability to manage multiple priorities and meet deadlines. Professional communication and interpersonal skills. Ability to handle confidential information with discretion.
