Job Description

Job Summary We are seeking a motivated and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks including managing front desk operations, handling multi-line phone systems, and assisting with customer service inquiries. The Office Assistant will play a key role in maintaining an organized and productive work environment. Duties Greet visitors and manage front desk operations with professionalism and courtesy. Answer and direct incoming calls using multi-line phone systems, ensuring excellent phone etiquette. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Assist with filing, organizing documents, and maintaining office supplies inventory. Support bookkeeping activities, including basic accounting tasks using QuickBooks as needed. Manage calendars, schedule appointments, and coordinate meetings for team members. Provide customer support by addressing inquiries and resolving issues in a timely manner. Utilize Microsoft Office Suite and Google Workspace for various administrative tasks including typing reports and proofreading documents. Maintain confidentiality of sensitive information while adhering to company policies. Requirements Proven experience in an office environment with clerical or administrative responsibilities. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Familiarity with QuickBooks is preferred but not mandatory; willingness to learn is essential. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Bilingual candidates are highly encouraged to apply to assist diverse clientele effectively. Strong time management skills with the ability to prioritize tasks efficiently. Previous experience as a dental receptionist or medical receptionist is a plus but not required. Exceptional customer service skills with a focus on providing support and assistance to clients. Attention to detail in data entry, filing, and document management is crucial for success in this role.
