We are looking for an enthusiastic, professional, and detail-oriented Front Desk Coordinator to join our growing team at Derma Aesthetica Med Spa. This position is perfect for someone who enjoys working in the beauty and medical aesthetics industry, loves interacting with people, is highly organized, and has an interest in social media and content creation. 8:45 AM•5:00 PM Candidates must be flexible and willing to stay later when necessary to accommodate patient appointments and office needs. Additional availability to help cover shifts during staff vacations, time off requests, and scheduling changes is highly preferred. Responsibilities Maintain daily front office operations by organizing administrative tasks, managing correspondence, ordering supplies, and supporting overall office efficiency. Greet, check in, and check out patients while providing a welcoming, professional, and elevated patient experience from arrival to departure. Answer incoming phone calls, text messages, emails, and patient inquiries promptly and professionally. Schedule appointments, confirm appointments, process patient follow-up communications, and assist with patient retention efforts. Ensure all patient intake forms, consent forms, treatment photos, and chart documentation are completed accurately and uploaded appropriately. Educate patients on services, skincare products, memberships, promotions, and treatment options while answering questions confidently and professionally. Assist in creating a positive patient experience by building rapport, encouraging reviews and referrals, and supporting overall patient satisfaction. Maintain cleanliness and organization throughout the office, including treatment rooms, front desk areas, lobby, retail displays, and common spaces. Stock treatment rooms, restroom supplies, retail products, and office inventory to ensure smooth daily operations. Assist with opening and closing procedures, including preparing rooms, sanitizing surfaces, restocking supplies, taking out trash, and securing the office. Support social media efforts by helping create content, capturing photos/videos, participating in trends, and contributing creative ideas for our online presence. Work independently, multitask efficiently, and thrive in a fast-paced environment while maintaining a positive attitude and professional appearance. Qualifications Previous experience in customer service, front desk, medical office, spa, salon, hospitality, or administrative roles preferred. Strong communication and interpersonal skills. Highly organized with excellent attention to detail. Comfortable learning and using scheduling and office software systems. Professional, dependable, and able to maintain confidentiality. Passion for aesthetics, skincare, beauty, wellness, and patient care. Comfortable appearing in social media content and assisting with content creation.
